Notion and Internal Wiki Pages to External Teach Reels

Sanitize internal wiki knowledge, extract one public intent, and rewrite voice for social—never film the raw Notion page.

Notion and Internal Wiki Pages to External Teach Reels

Notion and Internal Wiki Pages to External Teach Reels

Unlock internal knowledge docs as public vertical teaches. The wiki is the source of truth; the Reel is a rewritten, sanitized, one-intent teach—not a screen recording of Notion.

Ops and knowledge managers partnering with marketing sit on gold that never ships: runbooks, playbooks, and “how we do X” pages. Blog and help-center pipelines are different (blog → storyboarded Reels; help-center FAQ Reels). This path starts from internal docs that were never written for strangers.

Sanitize checklist before any board

Strip or rewrite anything that fails public safety:

CheckFail examplesAction
SecretsAPI keys, vault paths, credentialsDelete; never crop-blur as sole defense
NamesCustomers, employees, vendors under NDAAnonymize or omit
Unfinished claims“Should reduce churn ~a lot”Cut or replace with cleared language
Internal onlyPricing experiments, roadmap speculationPark until GTM clears
Legal riskAdvice that implies guaranteesRoute through claims checklist
ScreenshotsAdmin panels with live dataRecapture with dummy data
LinksInternal Notion URLs, staging hostsReplace with public docs or remove

Run a legal-safe claims pass when the wiki states outcomes. If sanitization guts the page, the intent is not ready for social—keep it internal.

Extract one external intent

Internal pages often mix audience, depth, and side quests. For social:

  1. Write the stranger’s job in one line (“Rotate API keys without downtime”)
  2. List only the steps a non-employee can use
  3. Drop tribal shortcuts (“ask Priya on #ops”)
  4. Name prerequisites the public must have
  5. Split multi-intent pages into multiple Reels

If you cannot state the intent without internal nouns, you do not have a public teach yet.

Rewrite voice for social

Wiki voice ≠ Reel voice.

From wiki

  • Long prerequisites
  • Nested toggles
  • “We always…” culture notes
  • Deep links to five other databases

To Reel

  • Hook in viewer language
  • 2–4 visible steps
  • One failure tip
  • Soft pointer to a public doc
  • Mute-safe captions

Do not film the raw wiki page. Scroll-and-read videos fail mute-first platforms and leak layout chrome you forgot to redact. Board a new public-facing storyboard per intent (annotate boards for review).

Ops ↔ marketing handoff

  1. Ops flags “public-ready” pages monthly
  2. Marketing sanitizes + extracts intent
  3. Legal/security spot-checks high-risk topics
  4. Marketing boards and publishes
  5. Ops links the Reel from the wiki for employees (optional) without making the wiki public

Stakeholder rituals help when SMEs are not designers (review rituals).

When to keep knowledge internal

  • Incident response that adversaries could misuse
  • Pricing floors and negotiation scripts
  • Personnel and performance processes
  • Anything gated by customer contracts

Public teaches should transfer skill without transferring advantage an attacker or competitor can weaponize.

Intent extraction workshop (30 minutes)

Gather ops + marketing with the candidate page on screen:

  1. Highlight sentences a customer could use (green)
  2. Highlight internal-only lines (red)
  3. Circle one green cluster as the Reel intent
  4. Park other green clusters as future intents
  5. Rewrite the intent as a hook a stranger would tap

Photograph the marked page for audit; do not publish the photo. The board starts from the rewritten hook, not from the toggle list.

Security review triggers

Escalate to security/legal when pages include:

  • Auth, secrets, or access-control procedures
  • Fraud, abuse, or trust-and-safety playbooks
  • Infrastructure diagrams with real hostnames
  • Customer implementation specifics under NDA

Most “how we run standup” pages never need that escalation—but treat edge pages seriously.

Maintaining parity after wiki edits

Wikis drift. Assign an owner to re-check public Reels when the source page’s critical steps change. Prefer linking Reels from the wiki (“social version”) so editors remember an external dependency. When steps diverge, either update the board or unpublish until fixed—do not leave a confident wrong Reel live.

Example rewrite (illustrative)

Internal wiki line: “Ask #platform for the staging flag before toggling seats—Priya owns the script.”

Public Reel caption: “Turn on seats only after the workspace admin flag is enabled—then invite.”

Same job, zero secrets, zero names. If you cannot rewrite without the internal nouns, keep it internal.

Soft production tip

Create a new public-facing board per intent; never film the raw wiki page. Storyboard-first tools such as Scro keep the sanitized beat map separate from the internal doc so regenerations cannot accidentally restore secrets from a screenshot.

Checklist

  • Sanitize table completed
  • One external intent line
  • Voice rewritten for mute-first
  • No raw Notion/wiki recording
  • Claims cleared
  • Dummy data in UI crops
  • Public doc link chosen (or none)

Internal wikis become growth assets only after sanitization and rewrite—not after pressing record on a database view.
